Heritage Signs & Displays (“Heritage,” “we,” “us,” “our”) respects privacy and is committed to protecting personal and project-related information collected through our websites, communications, and services. This Privacy Policy explains what we collect, how we use it, how we share it, and the choices available.

1. Scope and Where This Policy Applies

This Privacy Policy applies to personal information we collect through Heritage-owned websites and affiliated brand domains, including:

It also applies to personal information we collect through other business interactions, including when you request a quote, place an order, upload files, communicate with us by email, phone, or text message, interact with our marketing emails, or visit our facilities.

Heritage operates primarily in the United States, and information we collect is generally processed and stored in the United States.

2. Information We Collect

1. Information You Provide

We may collect information you submit through forms, file uploads, email, phone, text messages, or during the quoting and production process, such as:

  • Name, company, job title, or project role
  • Email address and phone number
  • Billing and shipping addresses
  • On-site contact information and site access details (for example, delivery instructions, loading dock access, escorts, site rules, and scheduling requirements)
  • Project details and requests (including timelines and locations)
  • Uploaded files and project reference materials (artwork, logos, templates, brand assets)

Payment information: Payments are processed through secure third-party payment providers. Please do not send payment card numbers by email. Heritage generally does not store full card numbers or card verification values.

Sensitive information: Please do not submit sensitive personal information in project files or communications unless we request it for a specific project.

2. Information Collected Automatically Online

When you visit our sites, we may collect technical and usage data, such as:

  • IP address and general location (city/state-level)
  • Browser and device information
  • Pages viewed, referring pages, and interaction data
  • Approximate referral source (search, links)

3. Audio/Video Monitoring and Recordings

We may record phone calls and other conversations or meetings (and may create notes, transcripts, or summaries) for training, quality assurance, documentation, dispute resolution, and operational purposes.

We also use security cameras in and around our facilities. Depending on the location and configuration, cameras may record video and audio. Where required by law, we provide notice and obtain consent.

4. Information From Third-Party Sources

We may obtain business contact and company information from third-party sources, including business contact data providers and publicly available sources. This information may include:

  • Name, job title, department or seniority, company name
  • Business email address and business phone number
  • Business address, city, state, country
  • Professional profile URLs (such as LinkedIn)
  • Company profile information (such as industry, company size, website, and technologies)
  • Data-quality and verification indicators (for example, verification status, confidence indicators, catch-all status, and last verified dates)

We do not sell personal information for monetary consideration. We do not use personal information for targeted advertising.

We may share information with trusted vendors that help us operate our business (for example, website hosting, analytics providers, email marketing and delivery platforms, customer relationship management and management information systems (CRM/MIS), reputation and review-request platforms, business contact data services, file transfer tools, cloud storage, payment processing, shipping carriers, telephony services, and internal collaboration platforms). These providers are permitted to use information only as needed to provide services to Heritage.

2. Subcontractors and Installers

We may share limited information with qualified subcontractors when necessary to perform production or installation work, limited to what is needed for the project.

3. Legal and Safety

We may disclose information if required by law or legal process, or when we believe disclosure is necessary to protect rights, safety, prevent fraud, or enforce agreements.

4. Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to reasonable confidentiality protections.

5. Cookies and Analytics

Our websites use cookies and similar technologies for site functionality and analytics. You can control cookies through browser settings; disabling cookies may affect site functionality.

1. Transactional Communications

If you engage with us, we may send service-related communications necessary to support quoting, production, delivery, and installation (such as proof requests, approvals, scheduling notices, invoices, and status updates).

2. Text Messages

We may use text messages for scheduling and project-related updates when you provide a mobile number or initiate texting with us. We do not send marketing text messages.

3. Marketing Communications (Email and Postal Mail)

Where permitted by law, we may send marketing communications by email and, in some cases, by postal mail. Instructions on how to opt out are in Section 11. Marketing opt-outs do not apply to transactional communications.

7. Project Files and Confidentiality

We store project files and related materials in systems used for production and project management, which may include internal servers and approved cloud solutions. Client-supplied content is used for your project and internal operational purposes. We do not publish client-supplied creative files externally without authorization, except as part of photography and portfolio use described in Section 8.

Clients are responsible for ensuring submitted materials are accurate, properly licensed, and non-infringing.

8. Photography and Portfolio Use

Unless otherwise agreed in writing, Heritage may photograph and document work during and after production and installation and may use project visuals and general scope descriptions, along with the client’s name, organization, and logo and publicly available company information, for business and marketing purposes (for example, on our websites, social media, marketing emails, print collateral, presentations, award submissions, and similar channels).

Opt-out. To opt out of portfolio and marketing use for a project, email media@heritagecustomsigns.com prior to project completion.

9. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by record type and operational needs, and project files may be retained beyond twelve (12) months.

We may retain limited information as necessary to honor opt-outs, maintain suppression lists, comply with legal obligations, and document requests.

10. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure; therefore, we cannot guarantee absolute security.

11. Your Choices and Requests

1. Privacy Requests

You may request that we access, correct, delete, or provide a copy of certain information we maintain about you, and that we update your contact details, subject to applicable law and verification requirements.

To submit a privacy request, email media@heritagecustomsigns.com and include your name and the request you would like to make. We may need to verify your request before completing it.

2. Marketing Email Opt-Out

To stop marketing emails, use the unsubscribe link in any marketing email, or email us from the address you want removed with “Unsubscribe” in the subject line. We honor opt-out requests within 10 business days.

Postal mail: To opt out of marketing postal mail, email media@heritagecustomsigns.com with “Opt out of postal mail” in the subject line and include the name and mailing address to remove.

3. Appeals

If we deny a privacy request, you may appeal our decision by emailing media@heritagecustomsigns.com with “Appeal” in the subject line and including the original request details.

12. Children’s Privacy

Our websites and services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate steps to delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted with a revised effective date and will be effective as of the revised Effective Date when posted. If we make material changes, we will post the updated policy and may provide additional notice where appropriate.
